Company should design an effective framework for internal communication

NEW YORK (CNNfn) - Dear Jane: We are a busy communications company with terrible internal communications. What can we do to keep everyone organized and on track?
This is a common problem among small businesses, especially when people are on the move or working from home.
One solution is to use a software program that keeps track of schedules on a master calendar. If you all share one calendar, you'll know where people are on what days.
It's also imperative to have a weekly staff meeting, no matter how far flung your employees may be. If they can't get to the office, buy a video camera and set up a mini-teleconference online. Or use a speakerphone as a last resort.
Monday seems to be the best day for staff meetings. We have two back-to-back meetings; first the management team meets to review the business development issues, financial status, projects, etc. Then we meet with the staff to pass along the headlines, assignments and next steps.
It doesn't hurt to have a big wall calendar too, just as a backup. Ask the person who is in the office every day to keep it current.
